Facilities Assistant Administrator

General

The Facilities Assistant Administrator is a Part-time position with the non-profit Baltimore Office of Promotion & the Arts, Inc. The position is responsible for assisting in the overall management, maintenance, daily operations and ongoing marketing of The Cloisters, Top of the World and The Bromo Seltzer Arts Tower; owned by the City of Baltimore and operated by BOPA. The position reports to the Director of Facility Operations. The position is based at the Cloisters, located in Baltimore County at 10227 Falls Road, but routinely works at TOTW and BSAT and attends meetings at BOPA’s main office in Baltimore City.

Responsibilities

Cloisters:

Assist with the management of the client reservation system, including booking clients, processing contracts, and tracking payments, billing clients, and keeping the reservation book up-to-date.

Communicate with clients and potential clients via phone, e-mail and on site. Conduct walkthroughs with vendors and clients.

Assist with events, including set up and break down.

Process bills for payment.

Process and/or deposit checks and credit card charges.

Process insurance requests for events with City Office of Risk Management.

Serve as liaison to all service, equipment and supply vendors.

Other duties as assigned.

Top of the World and Bromo Seltzer Arts Tower:

Greet visitors in a friendly and inviting manner

Interact with visitors and provide orientations, stories and antidotes on facilities

Operate elevators as needed with large groups

Promoting BOPA sponsored events such as The Fireworks; Artscape; and The Book Festival

Ensure all exhibits, displays and supplies are orderly and appropriately stocked.

Maintain Bathroom facilities as needed

Maintain a clean and safe environment for all patrons.

Maintain established cash-handling procedures:

Perform all cash register and credit card machine opening/closing functions

Secure and drop all cash and paperwork in safe.

Inspect and ensure that each facility is free from any safety hazards (floor is clear, not-wet, etc.). Inspect and maintain facility cleanliness: Ensuring all areas in the assigned facility (windows, mirrors, floor, exhibits, displays, and bathrooms) are clean and stocked appropriately Inspect and replace light bulbs as needed.

Required Knowledge, Skills and Abilities

Excellent organizational and interpersonal skills.

Commitment to excellent customer service and demonstrated perception and diplomacy in working with clients.

Ability to work independently, multi task/manage multiple projects simultaneously and achieve results on deadlines.

Positive attitude, resourceful nature and excellent problem solving capabilities Microsoft Office (Outlook, Word, Excel, PowerPoint); proficiency in Adobe Creative Suite ideal but not required

Strong marketing/promotional skills.

Must be able to work flexible hours that include weekends and evenings

Education and Experience Required

BA / BS or equivalent experience in business management and administration, marketing or related field. Hospitality and tourism industry background preferred.
