Creative Alliance seeks Operations and Rentals Manager

Compensation: Salary Range of $43,000-48,000

Overview: The Operations and Rentals Manager is responsible for facilities rentals, facilities operations and maintenance, event management, the box office, and the bar. Customer service, both internally and with our guests and external stakeholders, is a key focus in this work. This position supervises full and part-time staff and manages contractor relationships. The successful candidate will be detail-oriented, with strong interpersonal skills and flexibility to work on multiple projects at one time.

Principal Responsibilities:

  • Concessions and Events Management - 35%
  • Hire, schedule, train, and supervise part-time event managers and bartenders
  • Work with departments leads to ensure all event needs are met and relay needs to staff
  • Maintain inventory and order all liquor, goods sold, and supplies
  • Manage the Square account and ensure financial accuracy of reports
  • Act as an events manager when no part-time staff are available
  • Lead the annual Merry Mart holiday crafts sale event

Facilities Operations – 30%

  • Manage janitorial services and ensure the interior and exterior of facilities are clean and welcoming
  • Maintain inventory and order supplies and equipment necessary for building maintenance
  • Supervise the part-time facilities manager and schedule all maintenance and repairs
  • Monitor and program security, utilities, and HVAC systems
  • Be on call for emergencies and facility issues
  • Contribute to Patterson and Creativity Center building board committees for planning major repairs and upgrades
  • Ensure permits, licenses, and compliance requirements are up to date
  • Maintain schedule of use of all rooms and lead bimonthly calendar meetings
  • Prepare rooms for use including set-up, clean-up, food, supplies, and equipment needed

Facility Rentals – 20%

  • Direct the facility rentals program, working with marketing staff on promotion and evaluation
  • Manage rentals from initial inquiry to contract negotiation through completion of event
  • Coordinate with the technical director to schedule tech needs for rental events
  • Attend monthly Unique and Historic Venue Professionals meetings

General Administrative – 15%

  • Supervise the office manager and oversee the box office and front desk operations
  • Ensure customer service focus a priority for all staff
  • Help maintain organizational lists, staff communications, and on-boarding of new staff
  • Manage operating budgets for the building, concessions, and facilities rentals
  • Lead aspects of signature events such as Great Halloween Lantern Parade and Marquee Ball

Requirements:

  • 3+ years’ experience with facility rentals, private events management, facility operations, and/or theater house management
  • Experience supervising staff
  • Experience working in a bar or restaurant
  • Ability to lift and carry 50+ lbs.
  • Enthusiasm for the mission of Creative Alliance

Preferred Knowledge, Skills, and Abilities

  • Customer service focus in all work
  • Sales experience, preferably for a service
  • Excellent communication skills, written and verbal
  • Computer literate and experience with Square, MS Office suite, Google calendars
  • Database experience, Salesforce or Patron Manager preferred
  • Familiarity with local arts organizations
  • Driver’s license and reliable transportation
  • Serve Safe Certification a plus
  • Fluent in Spanish a plus
