Greater Baltimore Cultural Alliance Seeks An Executive Assistant

Position Overview
The Executive Assistant will work closely with and support the executive director
and will be the primary administrative contact with the Board of Directors. The
successful candidate will have experience in handling a wide range of
administrative, and executive support-related tasks. Additionally, they should be
able to work independently as an administration manager with little or no
supervision. This administrator must be exceedingly well organized, flexible, and
enjoy teamwork as well as administrative systems, and challenges. He/she/they
will ensure organizational effectiveness, as well as compliance with efficiency
and safety.

Strong verbal and written communication skills, organizational ability and a desire
to work in a fast-paced, creative environment in close contact with the Executive
Director, Board of Directors, development and membership staff is required. The
position reports to the Executive Director.

Executive Assistant (85%)
 Plan and direct all administrative and operational activities for the Executive
Director
 Organize and help prioritize critical issues and required information for the
executive to facilitate efficient decision-making
 Acts as a point of contact or gatekeeper between Executive Director and other
stakeholders
 Provides oversight and guidance to projects of high importance

Duties include but are not limited to:
 Organize and schedule meetings and appointments for the executive Director
ensuring that, when needed, that all needed technology has been arranged,
space has been reserved and refreshments provided
 Provide briefing and meeting preparation for the Executive Director
 Provide briefings and support to Executive Director for presentations and events
 Working with the Executive Director, manage all communications with the Board
of Directors including Board, Executive Committee, Governance Committee,
Development Committee, and Finance Committee meetings and minutes
 Manage communications with Major donors and other key constituents
 Update Employee Handbook and provide orientation for new employees
 Manage relationships with vendors, and service providers including contract and
price negotiations
 Act as an ambassador to GBCA visitors, volunteers, and guests

Office Management (15%)
 Serve as the point person for office manager duties including:
o Maintenance or staff needs for virtual offices
o Mailing
o Supplies
o Equipment
o Organize office operations and procedures, in person and virtually
o Manage relationship with third floor tenants including ordering kitchen supplies
and coordination communications.

Miscellaneous
 Collaborate with all staff to assist with special events
 Collaborate with all staff to assist with answering the phone and/or checking
messages.

Requirements
 Proven office management, administrative or assistant experience
 Knowledge of office administrator responsibilities, systems and procedures
 Excellent time management skills and ability to multi-task and prioritize work
 Attention to detail and problem-solving skills
 Excellent written and verbal communication skills
 Strong organizational and planning skills
 Proficiency in MS Office
 Salesforce CRM is a plus
Education: Associates Degree, Bachelor’s Degree or related experience
