Job Description
This position is a new, full-time, exempt position that assists the Education Director with a wide range of complex office administration and support duties, primarily preparing for, organizing, and managing different arts integration programs and professional development seminars throughout the year. You’ll work in a close-knit, fun, dynamic environment assisting with programs that include the Bloomberg Arts Internship (BAI), Teacher Fellowship, and the Principal Fellowship.

Responsibilities

  • Program Administration and Coordination (90%)
  • Supports and assists with coordination, delivery, and implementation of educational programs such Artful Practices, the Bloomberg Arts Internship, the Teacher Fellowship, and the Principal Fellowship.
  • Collaborate with various internal departments, including assisting with the development and dissemination of marketing materials and assisting with data collection and other evaluation needs.
  • Coordinate events and a variety of programming activities, including securing spaces that meet programmatic needs and handling all catering; schedule and manage internal and external meetings; and provide logistical support.
  • Manage clerical and administrative duties, including but not limited to: Making copies, taking meeting minutes, organizing supplies, as well as setting up and cleaning up meeting spaces.
  • Manage logistics, including initiating, creating, and tracking communication and information flow with program participants, partners, and stakeholders.
  • Review, assess, and appropriately route partner inquiries, and monitor follow up action steps.
  • Use multiple technical applications to organize and coordinate activities including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, and email.
  • Operate and support large-scale Zoom professional developments and programs.
  • Edit videos from trainings as necessary.
  • Work with the A4L staff as needed on special projects.

BAI Responsibilities

Recruitment

  • Assist with worksite outreach and recruitment.
  • Help coordinate the delivery of informational sessions and other critical presentations for schools, worksites, and partners.
  • Manage application and selection process for students and supporting staffing roles (i.e., writing coaches and college mentors, and worksite partners).
  • Take the lead with communicating with partners, interns, etc. throughout the recruitment process.
  • Connect with YouthWorks to identify students who could apply to the program and continue communication as students are accepted into the program or not.

Program Administration and Coordination

  • Work in collaboration with the BAI team, which includes A4L staff and consultants, to deliver quality programming.
  • Secure necessary space needed to administer the seven-week program in the summer, including negotiating cost and ensuring that the space meets program needs (i.e., breakout rooms, A/V equipment, etc.); and continue as lead point of contact throughout the program.
  • Secure space for the culminating event, including negotiating the cost and ensuring that the space meets the event’s needs.
  • Contribute to the development and review of program materials.
  • Compile and share appropriate materials and documents with students and worksites including, but not limited to: Timesheets, contracts used for payment, evaluation forms, honoraria for panelists, and field trips hosts.
  • Assist with program evaluation, including contributing to the distribution and collection of pre- and post-test surveys for students and worksites.
  • Manage contracts and payroll in Salesforce.
  • Coordinate all trips and outside activities with college mentors.
  • Maintain open and effective lines of communication with all partners and stakeholders (worksite representatives, parents, schools, and partner organizations).
  • Take the lead with invitations, scheduling (guest interviewers, information sessions, etc.), and communication as needed.

Marketing

  • Collaborate with the BAI team and Communications Department in the development and distribution of marketing materials.
  • Contribute material and content to various social media pages promoting the program.
  • Assist with capturing content that could be used in marketing materials.

Other Duties as Assigned: 10%

Qualifications

The person in this position plays a key role in the organization. We are seeking a multitasker who is passionate, community-oriented, innovative, and persistent, with strong organizational, scheduling, and time management skills. A driver’s license is required, as the position requires travel within Baltimore City and, at times, to other parts of the state.

The candidate must also have:

  • A passion for the arts, arts integration, and the role of teaching artists/community artists in education.
  • At least two years of relevant administrative experience.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional-level written and verbal communication skills, as well as proven interpersonal skills.
  • The ability to work across teams and with a variety of projects and constituencies.
  • Advanced skills with Microsoft Office Suite, Canva, and mail merge tools, and/or an ability to become familiar with organization-specific programs and software.
  • Experience with Google Suite, Salesforce, and Form Assembly preferred.
  • Experience working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
  • An understanding of the concepts of institutional and structural racism and bias, and their impact on policies and practices, especially related to the administration of public education.

Compensation

$45,000/year plus benefits.
