Supervises: Event Assistant, Technical Assistant, and event‑related contractors
Position Summary
The Visitor Experience Coordinator is Motor House’s primary on‑site representative and a welcoming face for our community. This role blends hospitality, sales, and event support to ensure that every guest feels seen, supported, and connected. The Coordinator leads box office and front‑of‑house operations, engages patrons in meaningful ways, and helps grow revenue through memberships, ticket sales, and community participation.
This position also supports the recruitment, training, and supervision of event staff, helping build a team that reflects Motor House’s values of creativity, respect, and community care. The Coordinator works closely with the Events Team to maintain a safe, accessible, and event‑ready environment for artists, renters, and guests.
The position is expected to require 25–29 hours per week, including six (6) in-person event days, one of which will be a weekly office/admin day on Tuesdays. Regular availability during evenings and weekends is required.
Non-exempt and hourly employees will be paid their regular hourly wage for all scheduled and worked hours to a maximum of 58 hours per paid period. Hours in excess of 29 hours per week require prior management approval and will be paid per Federal and State employment guidelines.
Essential Responsibilities
Box Office & Revenue

Manage all ticketing and admissions for Motor House programs and events.

Operate box office systems, including will call, scanning, and guest check‑in.

Handle cash, card, membership, donation, and merchandise transactions with accuracy and integrity.

Apply wristbands and verify IDs for age‑restricted events.

Reconcile ticket sales and cash boxes at the end of each shift.

Grow on‑site revenue through warm, community‑centered engagement, including:

Memberships: Aim for 5 new memberships per month

Ticket Upselling: Support at least 10 additional ticket sales per week

Audience Growth: Add 10 new voluntary opt‑in contacts per week
Front of House & Community Engagement

Serve as a welcoming ambassador for Motor House, offering tours and information about our programs.

Promote upcoming events, memberships, rentals, and community initiatives.

Encourage repeat attendance and deepen community relationships.

Collect voluntary audience data using approved methods.

Document and share patron feedback with the Events Team to support continuous improvement.
Administrative Support

Schedule and maintain event staff schedules and review timesheets.

Complete event recaps and oversee Event Assistant reporting.

Route rental and program inquiries to appropriate staff.

Support consistent communication of Motor House’s mission, values, and community commitments.

Help maintain operational practices that strengthen the Motor House ecosystem.
Event Operations & Management

Participate in planning calls regarding schedules, setup, and technical needs.

Ensure public spaces are clean, safe, and event‑ready.

Monitor fire code, occupancy, and safety compliance.
-
Serve as the primary on‑site customer service representative during events.

Deliver pre‑show and post‑show announcements that welcome guests and uplift Motor House’s mission.
Staff Leadership & Training

Recruit, onboard, and train event staff and contractors.

Maintain training logs and provide ongoing coaching.

Schedule event staff and security with attention to safety, quality, and budget.

Supervise Event Assistant, Technical Assistant, and box office/merch contractors.

Acts in alignment with the strategic direction set forth by the Managing Director; collaborates with the Managing Director and SGM through scheduled and informal feedback and planning conversations within established operational roles. Supports fiscal responsibility and stewardship of organizational resources. Final determination rests with the Managing Director.
Facilities & Space Stewardship

Coordinate annual technical space clean‑ups.

Maintain equipment calendars and report maintenance needs.

Manage organized storage systems and event equipment.

Maintain the events closet and storage areas.

Coordinate painting of the theater floor as needed.

Education & Experience

Bachelor’s degree or equivalent experience.

Minimum two years of experience in event coordination, public speaking, sales, hospitality, customer service, nonprofit work, or production.
Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.

Must be able to lift up to 15 pounds at times.

Prolonged periods of standing and fast-paced movement required.

Additional special events may be scheduled as needed, and flexibility with regard to work hours will be considered if needed. Work hours and event assignments are subject to change based on programming, rentals, and operational needs, with advance notice provided whenever possible.
