Annapolis Symphony Orchestra seeks Development and Business Services Manager

REPORTS TO: Executive Director

TYPE: Full-time, exempt

HOURS: M-F, 9:30-5:30 Occasional evenings and weekends

JOB SUMMARY: The Development and Business Services Manager is responsible for management of donor and financial data, financial transactions of the Annapolis Symphony, and supporting the fundraising activities of the Symphony. A strongly detail-oriented candidate interested in a development or fundraising career may be trained in additional fundraising and donor relations activities. This could be an entry-level position for a person who has excellent attention to detail and can handle multiple tasks, competing priorities, and an aptitude for numbers—but who also loves the arts and has an outgoing personality and great people skills. It could also be a position for a more advanced person seeking an entry into the exciting world of non-profit development or arts administration.

JOB DUTIES AND RESPONSIBILITIES

Development:

Maintain the ASO’s donor database with accurate processing of patron information

Process contributions for all donors, provide prompt and accurate acknowledgement of contributions, maintain record of transactions for ASO files, and produce periodic reports of contributed income

Prepare mailings and development reports, and coordinate donor benefits

Assist with preparation of grant proposals and reports

Maintain the ASO’s patron list for concert programs with attention to detail and accuracy

Assist the Executive Director with correspondence and general administrative tasks as assigned

Maintain and update files relating to and involving the Board of Trustees including email distribution lists, roster, and Board of Trustees manual

Assist in the planning and coordination of patron events including post-concert receptions, major donor party, major fundraising events, private chamber concerts, and other events as necessary

Work collaboratively with volunteer board members in planning and executing special events and other tasks

Provide administrative support to the Executive Director

Financial Management:

Manage and coordinate daily administrative and financial activities. Generate and process all accounts payable and receivable, invoices, receipts and transactions. Maintain accurate records of all business transactions

Assist the Executive Director in the tracking and reporting of financial transactions, including preparing financial information and reports for Board meetings

Maintain up to date and accurate accounting of all ASO bank accounts, including making deposits and payments according to ASO financial policies and procedures

Ensure accurate books are maintained at all times. Monitor expenditures in accordance with approved budget. Produce income and expense reports, credit card batch reports and ticket sales reports. Assist accountant in preparation of monthly financial statements

Help coordinate with auditor and accountant to supply all requested audit items

Customer Service Duties:

Provide unmatched customer service to all patrons and donors

Answer administrative phone line and direct calls appropriately

Assist office visitors

Back up the Box Office Manager in taking ticket and subscription orders

Concert Duties:

Assist in the staff operation of ASO rehearsals, concerts, and events

Coordinate Front of House activities at ASO concerts

Coordinate volunteers in office, at concerts, and events

Duties as assigned

QUALIFICATIONS

Bachelor’s degree or equivalent in a field relevant to nonprofit operations (communications, finance, music, liberal arts)

Experience, aptitude, and interest in working in the performing arts and the non-profit world

Ability to manage and monitor details, especially numbers

Ability to continue the Symphony’s tradition and reputation for unmatched customer service

An exacting and uncompromising attention to detail

Ability to think through projects and their ramifications, and to plan work in advance

Experience and aptitude for accurate, precise data entry

Proficiency with Microsoft Office products, especially Outlook, Word, and Excel

Ability to learn and use new software

Pleasant, outgoing, engaging manner on telephone and in person

Excellent communication skills (verbal and written)

Additional Qualifications Desired or Helpful:

Experience with QuickBooks

Experience with Patron Manager, Salesforce, Raiser’s Edge, or other CRM database

Knowledge of, and passion for, classical music

Experience with InDesign, Photoshop, and additional graphic design software

Web development or maintenance skills

Proficiency with social media

Experience and aptitude for planning special events

Experience with non-profit fundraising

Experience or skills producing printed collateral, social media materials, web design, or other marketing functions

The Annapolis Symphony Orchestra is a growing, successful 501(c)(3) not-for profit organization. Founded 1962, it is a fully-professional orchestra with approximately twenty-four performances each year. The core of the season is five Masterworks concerts (two performances each) and one repeat performance at Strathmore Music Center. Additionally there are two Pops concerts, five concerts for schoolchildren and families, and several collaborative performances with the Annapolis Opera, the US Naval Academy Glee Clubs, and other organizations. Music Director José-Luis Novo is in his thirteenth season, the longest-service music director of the Annapolis Symphony. Maryland Hall for the Creative Arts is the home of the Symphony.

Starting Date: September 5 or earlier preferred. Relocation expenses not reimbursed.
