Administrative Manager

Baltimore Shakespeare Factory is currently seeking a part-time, hourly administrative manager to help with the daily operations of the company. We are looking for a candidate who is friendly, detail oriented, reliable and has experience working with non-profit arts organizations. Job responsibilites include:

Administrative:

  • Maintain 20 office hours a week (e.g. T-F, 5 hours a day- flexible)
  • Answer phones and return messages
  • Regularly check BSF email and respond to messages
  • Maintain company financial records
  • Maintain communication with bookkeeper
  • Maintain communication with donors (thank you letters for $25 or more donation, invitations to events and shows, newsletter, etc.)
  • Keep website up to date
  • Keep office organized and records/receipts/contracts filed
  • Maintain company calendar

Public Relations:

  • Send out press releases for shows, organize visits from critics, provide comps, etc.
  • Get necessary materials printed and pick up materials from printer (Mt. Royal Printing)
  • Coordinate with graphic designers about the creation of new PR materials
  • Check social media postings and check in with PR committee about keeping postings up to date

Show Responsibilities:

  • Manage NEON front of house ticketing system
  • Manage show data
    • Distribute, collect and input actor and audience survey data
    • Prepare, distribute, collect and file contractor agreements and tax forms
    • Pay and maintain record of payment to contractors (actors, designers, teaching artists, etc.)
  • Keep track of front of house inventory (cups, napkins, snacks, drinks, alcohol, merchandise, etc. and notify front of house manager about purchasing)
