Concert Series Coordinator

The Concert Operations Department seeks a Concert Series Coordinator who will work under the general direction of, and in collaboration with the Concert Office Manager. This role is responsible for the overall daily management of the Concert Office, meets with and advises all degree recital students regarding performance requirements and standards. They will establish and maintain overall office organization, systems and procedures for the Concert Office. Peabody has 6 concert halls with @ 800 + productions during the school year and 200-250 recitals a year.

Specific Duties & Responsibilities:
Degree Recital Advising and Advancement

  • Working with the Office of Academic Affairs, establish yearly registration and performance deadlines for degree recitals, notifying students and faculty of all requirements.
  • Maintain all recital information pages on the Nest, updating to ensure accuracy and clarity.
  • Hold advising appointments with students concerning the scheduling and logistics of their degree recital(s), dress rehearsals, degree recital cancellations, changes, and non-degree recitals.
  • Coordinate with stage crew, piano technicians and recording arts department to ensure recitals receive the proper support and resources.
  • Management of Recital Registration system via Slate, including daily review of approvals, sending reminders, and making yearly updates.
  • Review and ensure accuracy of recital scheduling and support requests in ArtsVision.

Competition Advancement

  • Peabody hosts 7 internal competitions, which the Concert Operations Coordinator oversees.
  • Working with department chairs, issue contracts, payments and book travel and lodging for the competition judges.
  • Process student applications for all competitions, create daily schedules, information packets for judges, and manage all day of logistics for the competition.
  • Develop scoring procedures, working with judges to ensure compliance. Review scores at the end of each round, determine the winner and review with the judges.
  • Process all prize payments for students, honorariums for judges and track incidental expenses.
  • Review and ensure accuracy of competition scheduling and support requests in ArtsVision.

Friday Noon: 30 Series Advancement

  • Gather program and publicity materials from faculty and performers and creates the weekly program, following Peabody Institute style guidelines.
  • Schedule dress rehearsals; facilitate performer sign up and coordinate with production, recording arts and piano techs to ensure proper support is provided for the rehearsals and performances.
  • Interface with Communications to ensure series is publicized
  • Review and ensure accuracy of Noon:30 scheduling and support requests in ArtsVision.

Student Worker Oversight

  • Oversee student worker staff; schedule student workers, track their hours, assign daily tasks, and process payroll submissions.
  • Post student job descriptions, schedule and hold interviews and walk students through the on-boarding process.
  • Train students on all necessary job duties, concert office systems and software.

Concert Office Administrative Support

  • Order office supplies and oversee equipment maintenance
  • Maintain the Concert Office pages of the Peabody website and the Peabody Nest.

Concert Duty

  • Act as Manager on Duty as required, overseeing the House Manager (student employee) and box office as needed.

Minimum Qualifications (Mandatory):

  • High School Diploma/GED required. A bachelor’s degree in music or performing arts discipline is strongly desired.
  • Three years of experience in music event management, project management, music school administration, or other related experience required.
  • Additional education may substitute for required experience to the extent permitted by the JHU equivalency formula.

Preferred Qualifications:

  • 3-5 year’s experience in music event management, project management, or music school administration.
  • Thorough knowledge of classical, jazz, dance and opera performance protocols and repertoire.
  • Experience with Microsoft Office suite, ArtsVision, Slate and form building software is preferred.
  • Experience with contracts, processing payments and expense tracking.
  • Must possess excellent verbal and written skills; the ability to interact professionally with a diverse population of students, staff, and faculty; the ability to multi-task and be flexible in a busy environment with changing priorities.
  • Advanced problem-solving skills.
  • Highly organized, self-motivated, detail-oriented with excellent communication skills.

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Starting Salary Range: $17.42 - $23.95/hr (commensurate with experience)

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
