Shriver Hall Concert Series Seeks Audience Development & Production Coordinator

DESCRIPTION
Shriver Hall Concert Series, “Baltimore’s premiere importer of classical music talent” (The Baltimore Sun), seeks applications for the position of Audience Development & Production Coordinator. This position is responsible for the efficient, smooth, and professional operation of Shriver Hall Concert Series, with duties in event production, publications, marketing, box office, development, community engagement, and administration.

ESSENTIAL DUTIES & RESPONSIBILITIES
Event Production

  • Organize logistics for all events including but limited to concerts, talks, donor receptions, and internal activities such as board meetings
  • Organize all matters pertaining to event production, including set-up, instrument rentals/delivery, equipment, vendors, concert staff, and coordinating with venue staff
  • Arrange and coordinate logistics of visiting artists, including itinerary, rehearsal, travel, lodging, and hospitality.
  • Coordinate Front-of-House operations, including staffing, patron safety, and parking
  • Oversee volunteer and student usher programs
  • Serve as manager on duty for production matters at all SHCS events.

Publications & Promotion

  • Contribute to the creation of marketing materials, publications, and patron communications.
  • Write and edit promotional and editorial copy
  • Create patron emails in Constant Contact and track performance
  • Collaborate on content creation for and management of social media platforms (Facebook, Instagram, Twitter, LinkedIn)
  • Update and maintain website content
  • Design basic digital assets and flyers using Canva
  • Coordinate periodic flyering campaigns
  • Collaborate in the solicitation of advertisements for the annual program book

Box Office

  • Provide excellent and knowledgeable customer service to all patrons by phone, email, in person, and at events.
  • Manage the Box Office, including subscription and single ticket sales, exchanges, seating, reports, and ticketing.
  • Serve as Box Office representative at all events

Development

  • Process all donations and generate gift acknowledgments
  • Maintain accurate and up-to-date donor records
  • Help draft compelling narratives for grant proposals and reports
  • Assist in gathering of data and information for grant proposals and reports

Community Engagement

  • Coordinate student ticket outreach; help recruit students for internship, ushering, and Junior Board opportunities
  • Coordinate SHCS booth at periodic community festivals
  • Represent SHCS at meetings of neighborhood organizations
  • Create and administer patron surveys

Administrative

  • Supervise student intern
  • Maintain inventory of all physical property and equipment
  • Administer SHCS archive of organizational documents, audio files, and performance records.
  • Take Board minutes
  • Coordinate all office needs including voicemail, office supplies, and processing of mail
  • Support strategic planning process as needed
  • Provide general administrative support
  • Be flexible and pitch in where necessary given the small staff size

Other duties as assigned. Responsibilities may vary based on experience bought to the position.

QUALIFICATIONS

  • Bachelor’s degree, plus 2-5 years’ experience in an administrative role with arts/non-profit organization. Master’s degree may be considered in lieu of professional experience.
  • Strong knowledge of classical music and standard concert practices.
  • Proactive, detail-oriented, organized, and experienced in working independently and in collaboration, multi-tasking, prioritizing, executing multiple projects, and managing one’s time.
  • Relentless curiosity with the ability to productively question existing systems and engage in solution-oriented thinking
  • Personal integrity and strict code of confidentiality and professionalism
  • Exceptional written and verbal communication skills. Able to communicate warmly, respectfully, and appropriately with patrons, donors, board members, vendors, advertisers, artists, artist managers, colleagues, and people of different backgrounds.
  • Excellent copywriting and editing skills.
  • Proficiency in Microsoft Office, including but not limited to Outlook, Word, Excel, and Publisher
  • Proficiency in social media platforms (Facebook, Instagram, Twitter, LinkedIn), Constant Contact, and Canva (or equivalent visual design tools)
  • Prior experience with Survey Monkey, Adobe Acrobat, CRM (Customer Relationship Management) software, and event streaming appreciated
  • Must be available to work events on evenings and weekends. Must be accessible by mobile phone during concert periods.
  • A valid U.S. driver’s license and ability to lift 30 pounds (boxes, etc).

Founded in 1966, Shriver Hall Concert Series is one of the nation’s most respected presenters of internationally known soloists and chamber ensembles. The eight-concert Subscription Series is presented in the 915-seat Shriver Hall auditorium on The Johns Hopkins University’s Homewood Campus in Baltimore, MD. In addition, the free Discovery Series is presented in venues throughout the region, and educational and community activities are conducted throughout the year.
