DATABASE MANAGER OF INSTITUTIONAL ADVANCEMENT

CLASS DEFINITION

The Database Manager of Institutional Advancement maintains all departmental database processing using the Raiser’s Edge program. This position runs monthly income reports, oversees the acknowledgment process for the office, and conducts prospect research as needed. In addition, the incumbent supports the department’s solicitation and mailing activities and will support the Grants manager with grant applications, reporting, and acknowledgment letters. The incumbent reports to the Deputy Director and Grants Manager

Manages all data processing in Raiser’s Edge and RE modules to ensure that all data is current and accurate.

Creates and distributes monthly and quarterly income reports to ensure database integrity, monitor progress against goals, and prepare for Board review.

Serves as Business Office liaison in handling the deposit of checks and cash within the established guidelines and establishes fund codes and other gift processing procedures.

Manages the acknowledgement process including identifying the need for acknowledgement letters, and supervising the Development Assistant in the running and mailing of acknowledgement letters with the objective of a 48-hour turnaround for gift acknowledgements.

Coordinates with the appropriate development staff for special acknowledgements immediately upon receipt of gifts of $5,000 or more.

Coordinates all solicitations and other mailings with the Deputy Director and the Director in developing criteria for records and prepping for the mail house

In coordination with the Development Assistant, supports development events by running invitation lists, checking attendee donor history, and crafting email reminders and follow ups.

Assists the Grants Manager with institutional giving (corps and foundations). This may include coordinating donor meetings, tracking grant application and report deadlines, conducting prospect research and managing acknowledgements.

Assists the Deputy Director and Director with analytic reporting to identify individual major donors

Develops and maintains a database manual documenting and enforcing all departmental policy and procedures.

Coordinates all Raiser’s Edge database and software updates with the Systems Department.

Trains departmental staff on the use of Raiser’s Edge as required.

Represents the department with the WEB Department where appropriate

Manages online component of working with netcommunity including- setting up donation and event pages, sending mass emails, etc.

Supports the annual audit.

III. REQUIRED KNOWLEDGE AND SKILLS

Proven proficiency in database management.

Knowledge and proficiency in Raiser’s Edge and MS Office preferred.

Excellent written and verbal communication skills.

Excellent organization skills

Experience in working in a fast-paced office setting.

Commitment to maintaining the level of confidentiality required.

IV. EDUCATION AND EXPERIENCE REQUIREMENTS

Bachelor’s degree from an accredited college or university
